Freight Delivery Day: The Complete Checklist for BBQ Islands & Outdoor Furniture

    You finally pulled the trigger on a Cal Flame BBQ island. It's arriving in 2-6 weeks via freight. Most homeowners panic about the day-of delivery. They shouldn't — it's a process. But the process matters.

    Here's exactly what to expect, and what to do.

    1. Day -7: Schedule the Delivery

    About 7-10 days before delivery, the freight carrier will call you to schedule a 4-hour delivery window. They will not just show up. If you don't answer, they'll call again. If you can't pick up, leave a callback number on your voicemail — freight dispatchers won't email or text you the schedule, they'll just keep calling until they reach a human.

    What to ask the carrier

    • Confirm the 4-hour delivery window
    • Confirm the delivery type (curbside, white-glove, or threshold) matches what you ordered
    • Confirm the dimensions and weight — they should match your shipping confirmation. If not, call us immediately.
    • Ask if they'll need to liftgate the item off the truck (most large BBQ islands require liftgate — we pre-arrange this on every freight order)

    2. Day 0 (Morning): Prep the Delivery Path

    Before the truck arrives:

    • Clear the path from your driveway to where the item will be set. Move cars, garbage cans, garden hoses, planters.
    • Have someone else there if you can. Standard freight is curbside-only. The driver delivers to your driveway, not your patio. If you want help moving the item from driveway to patio, you need a second person.
    • Know where it's going. If you have white-glove, the driver will ask where to set it. Have the patio location prepped (clean, level surface).
    • Bring a utility knife for cutting strapping and shrink wrap when you inspect.
    • Charge your phone. You'll need it for photos.

    3. Day 0 (Truck Arrives): The Inspection Window

    This is the most important 5 minutes of your delivery experience.

    The Inspection Process

    1. The truck pulls up. The driver lowers the liftgate (or unloads with a pallet jack).
    2. BEFORE you sign anything, walk around the package. Look at the wrapping, crating, and any visible product surfaces.
    3. Note any damage on the receipt. Even cosmetic shipping damage to the crate. Write "DAMAGED — [description]" on the delivery receipt before signing.
    4. If damage looks severe, you have the right to refuse the delivery entirely. The truck will return the item to the freight terminal for inspection.
    5. Take photos. Of the package, the truck, the driver if needed, the damage. Time-stamped phone photos.

    What "signing clean" means and why it matters

    If you sign the delivery receipt without noting damage, you're agreeing the item arrived in good condition. Freight claims for damage discovered after a clean signature are typically denied. The freight company will say "You signed it as received in good condition." Don't sign clean if there's any visible issue — even if you're worried about being a hassle.

    4. Day 0 (After Driver Leaves): The Real Inspection

    Even if the package looks fine, do the full inspection within 24 hours.

    For BBQ Islands

    1. Cut all strapping. Carefully remove shrink wrap.
    2. Inspect the stucco/stone exterior for cracks, chips, or dings.
    3. Open the access doors. Make sure hinges work, latches close cleanly.
    4. Inspect the grill. Burner orifices clean? Hood opens smoothly? No dents in the firebox?
    5. Inspect the cooking grates. They should be unwrapped, in stainless cast or premium grade.
    6. If any side burner, refrigerator, or accessory is part of the order — inspect each separately.
    7. Photograph everything you find within 24 hours.

    For Outdoor Sectionals

    1. Inspect frames for chips, dents, or paint scratches
    2. Check cushions for staining or tears
    3. Verify all pieces of the set are present (4-piece sectional should have 4 sections)
    4. Check that toss pillows, console, and other included accessories are present

    For Fire Features

    1. Inspect the firebox, log set, and ignition assembly
    2. Check for cracks in the burner pan
    3. Verify the lava rocks (or other media) are included
    4. Check that the cover/lid is present and in good condition

    5. Day 1 (If Damage): The Claim Process

    • Photos of the original packaging (this matters for freight claim documentation)
    • Description of what you found

    We'll initiate a manufacturer freight claim within 1 business day. Resolution depends on damage severity:

    • Minor cosmetic: Sometimes resolved with a small concession or replacement part
    • Moderate functional: Replacement part shipped (typically 7-14 days)
    • Major (BBQ island stucco cracked, fireplace burner damaged): Full unit replacement, no charge to you

    6. Day 1 (If Clean): The Install Process

    If everything looks good, you're ready to install:

    What you can do yourself

    • Place the item on its final surface (with help — BBQ islands weigh 400-1000+ lbs)
    • Connect the LP propane tank (if LP-fueled)
    • Light the burners and test ignition
    • Cure the grill (run on high for 30 minutes to burn off manufacturing residue)

    What needs a licensed contractor

    • Natural gas line connection
    • 120V electrical outlet installation
    • Plumbing for sinks or bar stations
    • Conversion between LP and Natural Gas
